You’ve seen it all, when it comes to work orders for maintenance issues. You’ve had maintenance requests arrive penned on toilet paper (thankfully otherwise unused!), scribbled on take-out menus, texted at 3 am, and oh-so-casually mentioned as you’re both headed for the parking garage long after you should have gone home for the day.

You’ve also had those maintenance requests that are impossible to read. Some you would swear that a doctor has written. Others you imagine took a swim in that backed-up sink before they made it into your mail slot, still dripping wet. Then there was the one that was splattered with what you dearly hoped was coffee….

And then there are those memorably vague work orders that required just a bit more detail in order to be classified as any type of business communication. Here is the entire text (unsigned, of course) of a few classic examples:

  • “toilet backed up in Building A” (which happens to be 12 stories tall, with 62 toilets and 12 urinals)
  • “repair needed on chalkboard in Mr. Smith’s lecture room” (of course, there are five Mr. Smiths on the faculty, and they teach in different lecture halls, depending on the course)
  • “roof leaked during last rainstorm” (!)

These are some of the reasons why you really need work order management software. With a straightforward, easy-to-use interface, required fields, and a place for the submitter’s name and email address, you will have all the information you need, available at your fingertips. You can pre-program building area options for submitters to choose from, and request individual room numbers for clarity in finding problem locations. Pre-set task types assist in easy, even automatic assignment of jobs to appropriate maintenance staff.

Furthermore, the entire system is cloud-based, which gives your late-leaving colleague the chance to submit his maintenance request from home, or wherever he is when he finally remembers. It also gives you a chance to check in before leaving for work, or on the commuter train, so that you are already mentally prioritizing by the time you walk in your office door—or perhaps choose to head straight for the backed up toilet in the President’s Office (Building A, Room 264).
