Are you running into daily problems with your maintenance software? Are the people who use it unable to do everything they need or want to do with it? When it comes to CMMS, it's important that the system you have is the right one for you and your entire organization. If you and your users are facing issues with your current CMMS, it might be time for a new one.
5 Questions to Ask to Find Out if You Need a New CMMS
If you have an older CMMS program, there are a few reasons why you might want to consider replacing it. Here are five reasons we thought of that indicate it’s time for a change:
Is it Working?
Sure, we realize that this is a very good reason to replace your CMMS – having one that actually works. But the real meaning of this question is: is it working for you? Just because your maintenance software is physically working doesn't mean it's working in the way it needs to for your organization.
Ask: Is this software working for everyone who uses it? If the answer is no, or if you're unsure, it's time to consider a new CMMS.
Are there Customization Options?
A major factor in choosing a CMMS program is its ability to be customized to your needs in the facility. Whether you want to ensure that there is plenty of room for uploading documents, you want Cloud storage, or you want a CMMS that is user-friendly with plenty of tech support when you need it. You need to have a program that allows you the ability to make it fit your own personal needs and that of the facility.
Ask: Is my organization just "living with" what our CMMS can and can't do? If you can't get the functions you need and want from your maintenance software, you need a new one.
How Well Does it Evolve?
As your facility’s needs change, you need a CMMS program that evolves along with those changes. Whether your team is growing, your facility is growing, or there are changes that require a change in software needs – the best CMMS program ensures a seamless integration into advancements you require.
Ask: Will my maintenance software be able to change and evolve to meet any needs that come up? If it isn't, it's time to start looking into a new program that's able to do this (not to brag or anything, but we are).
Is it Accessible for Users?
The right CMMS program works well for all of its users. Whether it’s your employees or upper management – your whole team should have access to up-to-date floor plans, asset information, O&M manuals and anything else that can help them in the field. Software that makes access to information difficult for users is not efficient or effective for anyone.
Ask: Can all of my CMMS users access the information they need when they need it? If getting the right people the right resources at the right time is proving difficult, you know it's time for a change.
What is the Intuitiveness?
No matter what features your CMMS program provides, it should still be easy to use. Programs that are difficult to learn and use, are not only a waste of your time and attention, they won't be efficient for the people who need to use them.
Not all users of your work order system are going to be technically savvy, but it's still important that they are able to access and understand the resources they need without a lot of confusion or struggle every time. A CMMS program that is easy to use and intuitive to your needs is your best bet in having an easy time of not only using the software but gaining more benefits.
Ask: Is everyone who needs to use the CMMS able to use it effectively? If your users are having trouble with the software, a new one that's a lot more user friendly might be in order.
